In this post I'm going to do a step by step guide on how to effectively set up video conferencing in your very own business.
Firstly you'll need to get the following equipment otherwise you won't be able to have access to this valuable business resource:
- Video Conferencing Software e.g. GoToMeeting (May be expensive depending on the businesses financial costs)
- A few webcams subject to how many people you may have in a video conferencing meeting at a time
- Multiple computers or monitors so you can see the other colleagues
- Microphones may be necessary if the people who aren't in the room don't have a very good sound feature on their laptop or computer
Step 1) Download your choice of video conferencing software and make sure it's eligible to use on your computers/laptops and make sure all the features you'll need it for work
Step 2) Test your internet connection in the building to make sure the signal is strong enough to successfully support a video conference call especially in different countries (could ask a member of your team who lives in a different area to test it out to see the results)
Step 3) Make sure your webcams are all working before you try to make a conference call as it wouldn't be good to have a video conferencing call without the video. Test them out by just plugging it into your computer and seeing if your face comes up on the computer's screen
Step 4) Audio is an important feature of video conferencing so checking you're being heard is a key step in setting your business up for this type of technology, so test out your microphones or inbuilt internal microphone works by recording your voice and seeing if it plays back in a good quality.
If you have followed all of the information I have provided in this guide you should be able to now supply your workers with the correct equipment and your business will be capable of hosting video conferencing meetings where you will be able to see facial expressions and body language of your staff so you can truly see how they feel about your ideas and implications for the business
